The best data source is the one nobody has to open
Why property intelligence belongs in the matter, not in a separate window.
Propalt Team · For conveyancers
A fee earner running forty live files does not want another login. Every tool that lives in its own tab is a tool that gets used on the difficult files and forgotten on the routine ones, which are precisely the files where an early flag would have helped most. Good data used inconsistently is not much better than no data at all. The habit only forms when the information appears where the work already happens.
The reasonable objection is that integrations are a project, and case management systems are not easy to change. That is true, which is why the design point here is to keep the integration small. One API and one contract for your case management vendor to work against, rather than a sprawl of separate connections, keeps the build proportionate and the maintenance light. The aim is for property data to arrive inside the matter as a normal part of the file, not as a separate errand.
One API, one contract, one place to look
A case management data feed exposes the core property signals through a single interface your vendor can integrate once. Property and tenure detail, lease records and planning activity flow into the matter record, so the fee earner sees them alongside the file they already have open. There is no second system to remember, no address to retype, and no copy-paste between windows.
Consistency is the real gain. When the data is in the matter, it is seen on every file, not only the ones where someone thought to go and look. That is what turns a useful data source into a dependable part of your process.
| File data (illustrative) | Where today | Where with the feed |
|---|---|---|
| Tenure and ownership | Separate tab | In the matter |
| Lease records | Separate tab | In the matter |
| Planning activity | Separate tab | In the matter |
The table is illustrative. The point is that the same information moves from somewhere the fee earner has to remember to look, to somewhere they cannot miss it.
Process you can rely on
Consistent, traceable data supports your SRA or CLC obligations and your material information duties, because a check that happens on every file is a check you can rely on. Putting the feed inside the case management system does not change what the data is or where it comes from. It changes how reliably it gets used, which for a busy team is the part that actually matters.
The data source that lives in another tab is the one that gets skipped on a busy day.
An integration does not do the conveyancing. It makes sure the information is in front of the person doing it, every time.
Put the data in the matter, not in another tab.
